Summary:

  • Serves as a Coordinator of Secretarial Services for the Department, works closely with the practice manager, manages provider templates and clinic schedules. Ensures secretarial staff are working at the top of their scopes and communicates any changes to them. Excellent organizational skills and the ability to work and prioritize multiple projects and responsibilities as needed. Serves as a backup to the practice manager in their absence.

Responsibilities:

  • Schedule ancillary services as directed by physicians or nursing staff
  • Ensures provider messages are handled in a timely fashion, scheduling initial, return visits and procedure appointments
  • Send out proper prep to patients. Provide patient with pertinent information regarding scheduled procedures/tests
  • Adheres to financial requirements as dictated by patient’s/customer's insurance carrier and/or UPHS financial policies
  • Arrange meetings as needed, serves as coverage for other secretaries within the division as necessary
  • Make schedule changes in EPIC/Optime as directed by physicians or manager
  • Answer telephone, Confirm procedure schedules
  • Accurately records all necessary information to adequately triage telephone calls
  • Informs manager of all unresolved patient issues so that appropriate action can be taken
  • Monitors PMX feedback along with Practice Manager

    Education or Equivalent Experience:

    • H.S. Diploma/GED (Required)
    • Minimum 3-5 years of secretarial or comparable experience in a medical terminology and office procedures. Knowledge
    • Bachelor of Arts or Science
    • Healthcare Administration, Project management
