Responsible for clerical support within the department to include administrative, clinical and research related duties.

Incumbent is responsible for providing administrative support within the Electrophysiology Program of the Cardiology Division. In this position, even though the candidate is not assigned to a specific provider(s), the job is very task oriented and supports all the providers. This position would be a great fit for someone that has the Medical Assistance background and is looking for a next step in the administrative world utilizing their medical knowledge. Position is responsible but not limited to the following: Enrolling patients in cardiac monitors with various companies, submit medication refills, request authorizations for medication and tier reductions. Completes precertification for EP patients echocardiograms at HUP and other facilities, MRI's and stress tests done at outside facilities. Maintains a daily checkpoint for all tasks due and follows up on anything outstanding. This involves time management, focusing on details, projecting, prepping, and communication skills. This is a fast paced environment and the candidate needs to be able to work efficiently with minimum supervision. The successful candidate will be organized, resourceful, take initiative and demonstrate excellent follow through. Must be articulate and possess excellent verbal and written communication skills. Excellent grammar and spelling a must. Candidate must be a team player and exhibit strong interpersonal skills and the ability to manage complex assignments. Candidate must be comfortable with multi-tasking, answering heavy call volume, and prioritization in a fast-paced busy environment with close attention to detail, accuracy, and timeliness. Excellent computer skills; highly experienced in Windows, Outlook, Excel. When needed, answering phones, scheduling patient appointments, or testing. Provide cross coverage as requested. Collaboration with physicians, APPs, staff members, EP lab team, research nurses, etc. Incumbent is responsible for promoting organizational values of patient and visitor satisfaction by demonstrating courtesy and respect for families, visitors, and other employees.

 

Administrative Duties

•Compilation and submission of expenses for travel, subscriptions, memberships and books for re-imbursements in a timely fashion.

•Maintain multiple calendars/schedules, surgery schedule, office hours and meetings.

•Answer and screen all phone calls. Take appropriate messages or delegate calls to appropriate support staff.

•Make travel and lodging arrangements.

•Other administrative duties as required to support divisional needs

 

Clinical Duties

•Assists attending physician with outpatient office hours.

•Schedule required procedures for patients at attending physician’s direction. This includes completion of chart management and PSM forms and follow-up to ensure that all necessary preadmission testing has been scheduled and results are available prior to surgery.

•Copy and disseminate follow-up patient correspondence, reports, and discharge notes to patients and referring physicians.

•Assist patients with referrals, scheduling for follow up visits, questions on pre-operative preparations and surgical admissions.

•Ensure that all operative reports and encounter forms are turned in for billing within designated timeframes.

•Provide cross coverage for designated co-workers per guidelines and as directed by supervisor.

•Copy and disseminate follow-up patient correspondence, reports, and discharge notes to patients and referring physicians.

•Assist patients with referrals, scheduling for follow up visits, questions on pre-operative preparations and surgical admissions.

•Ensure that all operative reports and encounter forms are turned in for billing within designated timeframes.

•Provide cross coverage for designated co-workers per guidelines and as directed by supervisor.

 

Research Related Responsibilities

•Interact with individuals/patients associated with clinical trials as well as supply information to patients enrolled in these studies.

•Schedule follow up studies as directed by the trial protocol.

•Coordinate submission and approval of journal articles, manuscripts and permissions as directed.

•Other duties as assigned to support the unit, department, entity, and health system organization

 

Education:

 

H.S Diploma AND 3+ years of experience. A combination of education and experience will be considered.

COMMUNICATION: Ability to communicate with internal and external constituents

OTHER: Ability to follow oral and written instructions

TECHNOLOGY: Ability to use Microsoft Word

TECHNOLOGY: Ability to use Microsoft Outlook

TECHNOLOGY: Ability to use Microsoft Excel

TECHNOLOGY: Ability to use Microsoft Power Point
