Summary:

  • The Anatomic Pathology Senior Secretary performs a variety of clerical and administrative tasks in support of the day to day operation of the Pathology department. These duties include professionally and promptly handing slide consultations, supporting FNA teams, filing and distributing slides, interacting with outside institutions and patients to process their requests and to address their concerns and supporting the faculty members.

Responsibilities:

  • Follows established policy and procedures to handle slide consultation and slide releases, processes reports returned from outside institutions and properly performs the related quality assurance tasks. Evaluates and solves problems related to the process 
  • Accurately reviews patient slides and requisitions to properly check all required identifiers and captures all information and registers the patient and accession the case as needed. Maintains accurate and orderly log records and/or worksheets where required according to established policy. Accurately checks worksheets and lists in the lab Information system to ensure all pending and completed work is promptly captured 
  • Supports the Fine Needle Aspiration teams, communicates and dispatches teams and supports all the ancillary tasks related to FNA 
  • Files slides and blocks accurately and supports tumor tissue boards by pulling the cases selected for conferences. Returns slides and blocks to the outside institutions promptly and accurately as per policy or upon request and faxes reports to the submitting institutions 
  • Files and organizes electronic and paper records as per College of American Pathologists regulatory requirements. Supports the department leadership in maintaining compliance with CAP accreditation by compiling the required documentation and preparing and maintaining reports and manuals 
  • Maintains inventory of supplies and stationaries; notifies Supervisor of the need for replenishment before the supply runs out. Stocks workstations with supplies. Unpacks and stocks consumables 
  • Uses effective interpersonal skills in all interactions, answers telephone inquiries to the best of knowledge, researches answers if required and returns answer to caller without transferring caller unnecessarily. Works well with peers and those in authority. Maintains a positive rapport with medical staff and hospital personnel, communicates in a highly professional manner at all times
  • Complies with all Hospital and Laboratory Safety regulations, reports hazards to the Safety officer or Supervisor when found; completes in-service mandatory education on or before the due date 
  • Performs duties in accordance with Penn Medicine and entity values, policies, and procedures 
  • Other duties as assigned to support the unit, department, entity, and health system organization

Education or Equivalent Experience:

  • H.S. Diploma/GED (Required)
  • Enrollment in an accredited school of Cytotechnology, Histotechnology, Medical Technology/Technician program, or other previous related laboratory experience (Preferred)
  • Prior experience with Cerner Millennium and Microsoft Office (Preferred)
