Patient Access Manager

Summary:

  • The Manager of Patient Access directs and coordinates all daily operations of the Admissions Department and the Emergency Department and Labor and Delivery Room Patient Registration within the Hospital of the University of Pennsylvania (HUP). The Emergency and L&D Registration Department is responsible for the 24 hours a day/7 days a week patient registration of Emergency Room and L&D patients. The Admissions Department is responsible for the registration of Inpatient and Day Surgery patients. In addition, is responsible to complete pre-admission testing functions which include clinical operation components. The Manager oversees and is responsible for all aspects of the Revenue Cycle activities within these areas which have direct impact on the financial outcome of Penn Medicine's Revenue Cycle Key Performance Indicators (KPIs). Overall, the Manager supervises 40 employees that consists of Supervisors, Patient Service Associates and Clinical Service Associates.

Responsibilities:

  • Manages the 24/7 daily operations of the Emergency and L&D Registration Department and the Admissions and Pre-Admission Testing Divisions within the HUP/CPUP Revenue Cycle Department
  • Ensures department is following proper registration protocols which include regulatory compliance and hospital and departmental policy and procedure compliance; Reviews departmental policies and procedures on a regular basis and makes updates as needed, focusing on continuous process improvement
  • Develops, manages and tracks departmental processes and reports to ensure the Revenue Cycle’s KPI benchmarks are being met
  • Drives standardization efforts in accordance with the organization’s mission
  • Manages staff; interviews, hires, assigns and directs work, appraises staff performance with rewards and discipline, addresses complaints and resolves issues that may arise, and acts as a mentor for departmental staff
  • Assists in the development of the operational budget and manages within the budget; monitors and controls expenses in support of departmental’ s financial goals
  • Assists in managing relationships with internal and external customers (i.e. vendors, hospital and practice departments, county assistance liaisons, etc.)
  • Assist the department in achieving and maintaining the Hospital’s Candidate for Billing (CFB) daily goal

Education or Equivalent Experience:

  • Bachelor's Degree, Healthcare related field required
  • 3+ years Hospital Revenue Cycle Setting required
  • 5+ years Supervisory/Management Role preferred
  • AAHAM Revenue Cycle Certification or NAHAM Certification preferred

Skills and Abilities:

  • Ability to manage concurrent projects while meeting project deadlines
  • Ability to manage difficult situations with tact and diplomacy
  • A thoughtful individual, politically astute with strong diplomatic skills. Outstanding relationship building skills
  • Strong communication skills with all levels of staff and personnel
  • Ability to analyze, diagnose, suggest and implement process change
  • Understanding of medical terminology
  • Ability to lead/manage others
  • Ability to use Microsoft Office (Excel, Power Point, Word)
  • Ability to work in a fast paced environment with changing priorities
  • Ability to work within tight timeframes and meet strict deadlines
  • Demonstrated ability to build a high performing team
  • Experience in a healthcare environment
  • Experience using EPIC preferred
  • Knowledge and understanding of front to back-end revenue cycle business processes
  • Knowledge of community, state and federal laws and resources preferred
  • Knowledge of federal, state, and third party payer requirements
  • Must be dependable
  • Must be strategic thinker
