Summary:

  • The Buyer will:
  • Place orders with vendors; confirm pricing and availability within 3 business days.
  • Communicate with requesting departments on any order not meeting delivery requirements.
  • Resolve invoice discrepancies for all orders placed and document at least 25 per week.

Responsibilities:

  • Places orders with vendors accurately. Performs accurate order placement within 3 business days, processes 25 orders per day and expedites orders, as necessary. Directs all requisitions to contracted vendors, where applicable. Converts faxed/mailed requisitions into purchase orders. Obtains pricing on product accurately, recommends to Contract Manager cost-effective alternatives and performs pricing confirmation.
  • Responds to voice mail and e-mail within 1 business day. Performs telephone activities in courteous/professional manner. Tracks phone calls daily on telephone log.
  • Takes initiative to respond to inquiries regarding orders, resolves discrepancies relating to orders placed, and communicates with management on pending issues.
  • Anticipates customers concerns and needs by asking if they need assistance, as required. Responds promptly and follows through to meet customer needs, as required.
  • Invoice resolution – daily. Contacts appropriate person, department or vendor when researching invoice discrepancies.
  • Buyer is responsible for timely and accurate filing and is responsible to keep PO’s at their desk for 60 days after PO creation date. After the PO has reached 60 days, Buyer is responsible to ensure PO is filed accurately in the file storage room.
  • Cooperates with, and demonstrates respect for all hospital services and personnel. Provides or facilitates in providing a clean, safe, quiet and secure hospital and/or business environment for all.
  • Preserves confidentiality, privacy and dignity of patients, visitors, vendors, etc., according to UPHS or departmental policy.
  • Maintains composure, good judgment and acceptable work performance under conditions caused by deadlines, workload, situational crisis, opposition or other causes.
  • Assists as backup to other teams, cross trains to assist on all commodity teams, and participates in team meetings and staff meetings.

    Education or Equivalent Experience:

    • Associate of Arts or Science
    • Business Administration, Finance, or Accounting
    • H.S. Diploma/GED (Required)
    • Business Administration, Finance, or Accounting 2+ years. Experience in Purchasing or Materials Management
