Summary:

  • Provides administrative support for two Directors. Responsibilities include screening calls, making travel and meeting arrangements, preparing reports and financial data, and customer relations tasks/activities. Requires strong computer and internet research skills. Also calls for excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff, as well as physicians, outside clients and vendors. Will exercise independent judgment and discretion in performing tasks.

Responsibilities:

  • Provides administrative support for the directors including calendar management, travel and meeting arrangements and correspondence (e.g., to attorneys, patients, and families.)
  • Oversees day-to-day office operations. Serves as liaison of the department by providing excellent customer service including professional telephone etiquette.
  • Maintains databases and files.
  • Registers staff members and supervisors for conferences and seminars
  • Corresponds with physicians, vendors and clients.
  • Prepare presentations, meeting materials, meeting minutes and organize, analyze and distribute reports.
  • Assist with budget and analyses and review any reconciliation of invoices.
  • Prepare purchase orders for supplies and prepare check requests.
  • Perform other duties assigned
  • Runs monthly reports for the Pediatric Department using EPIC and tracks resulting data, adding new physicians to reports as they onboard.
  • Using Doxmity/Amion’s OnCall application, prepares draft of clinical schedule for the physicians. Adds new physicians to application as required.
  • Completes daily patient calls to parents of Emergency Department pediatric patients to check status and provide patient support.
  • Tracks physician compliance re: medical license updates, DEA renewal, PALS, BLS, & NRP certification, immunizations, dues, and is prepared to provide resources for these items to physicians.
  • Responds promptly to CHOP requests for physician, payroll, and billing information.
  • Provides support for Risk Management complaint, claim and professional liability case activities.
  • Makes outreach to patients and families when requested regarding compliments and complaints.
  • Creates MIDAS events for Complaints and Grievances.

Credentials:

Education or Equivalent Experience:

  • Associate of Arts or Science
  • Business and/or related field 0-1 years Experience in health care environment
  • H.S. Diploma/GED (Required)
  • Business and/or related field
