Summary:

  • Responsible for a wide range of administrative and secretarial tasks and special assignments for Manager/Director. May schedule meetings, travel arrangements, typing, preparing Power Point slides, reports and filing confidential information. Performs other duties as requested. Able to set own priorities and exhibit self direction with high level of initiative. Understands and utilizes computer technology applications to maximize efficiency (e.g. Microsoft Office, data base management, spreadsheets, power point, outlook and other computer applications, as needed).

Responsibilities:

  • Interact professionally and courteously with all parties to resolve issues for patients, vendors, PBO staff, PBO Directors, all UPHS Departments and all external contacts on a timely basis
  • Handles general clerical duties such as:
  • Phone management
  • Scheduling, Typing/Data & Process Management and
  • Filing
  • Phone Coverage:
  • Never leave front reception area unless phone coverage is arranged.
  • Be flexible with time to cover phones for other Administrative Team members.
  • Notify Administrative Manager of any time conflicts.
  • Answer phones in a professional and courteous manner and properly direct all callers as necessary.
  • Copier Support:
  • Act as a contact for ordering service calls.
  • Follow up if services are delayed by IKON.
  • Respond to employee notice of copier malfunctions and proactively investigate any noticed (red lights) to ensure that copier service has been requested.
  • Post notice on copier to provide the details of when service has been requested.
  • Monitor all copier service requests on the tracking log.
  • Provide basic copier support of clearing jams and adding toners as necessary.
  • Obtain necessary training and knowledge of how each copier works.

Credentials:

    Education or Equivalent Experience:

    • H.S. Diploma/GED (Required)
    • 3+ years Administrative Assistant Experience
