Credentialing Assistant, Office of Medical Affairs

Summary:

The Credentialing Assistant manages and maintains the Expirables process for 9000 Penn Medicine providers in accordance with department policy, including license, DEA, CDS, life safety, malpractice coverage and board certifications. Communicates with practitioners, primary source verification (PSV) entities, Penn Medicine facility medical staff office (MSO) staff and practice managers to ensure documentation is accurate and up to date. Performs daily review of inquiries, data follow up and coordinating emails, phone calls and mail with credentialing staff and other customers. Responsible for the timely communication and uploading of supporting documentation, primary source verification and special projects as assigned, enabling the smooth operation of the credentialing department.

Responsibilities:

  • Manages and maintains the expirables processes and maintenance of certification (MOC) board renewals on ECHO dashboard to ensure all notifications and reminders are communicated and tracked within the established time frame.
  • Performs PSV verifications for DEA, CDS, Board certifications, Life Safety and Licenses for PA & NJ. Coordinates payment, where appropriate, with the Director (credit card) and Administrative Assistant (check). Coordinates and maintains appropriate supporting documentation and logs in a timely basis. Collaborates with MSO’s, Managers and Credentialing and Privileging staff.
  • Submits information for check requests to Administrative Assistant, when needed, to reimburse accounts for pre-paid verifications.
  • Coordinates responses with system administrator regarding requests/inquiries from other hospitals requesting credentialing verification.
  • Uploads, follows-up and reviews certificates of insurance (COI), conditions of application (COA), education and affiliation documentation.
  • Responsible for the daily review and distribution of work listed on the Medview Application Scan tab.
  • Manages the Credentialing Application Team email box: Responds to inquiries, distributes pertinent information and documentation within 24 hours. Escalation of issues to Management and/or Analyst when necessary.
  • Coordinates and manages a wide range of special projects as assigned by department management to facilitate the efficient operation of the Department.

    Education or Equivalent Experience:

    • H.S. Diploma/GED required. 
    • 3+ years experience in a high volume, time sensitive business environment and detail oriented required.

    Skills & Abilities:

    • Must have the ability to maintain information in a confidential manner in accordance with all regulatory requirements.
    • Must have the ability to persevere in obtaining documentation while communicating in a professional manner. 
    • Must have the ability to evaluate requirements of a completed task have been met (demographic, affiliation and expirable information). 
    • Must also be able to work effectively as a member of a team. 
    • Must be able to meet deadlines. 
    • Must be able to exercise good judgment when escalating issues. 
    • Communication skills - oral/written with providers and external contacts. 
    • Proficient in computers and computer software including, but not limited to, database management, spreadsheet and word processing applications. Advanced training in database management preferred. 
    • Microsoft Office Suite. 
    • Experience with ECHO software preferred.
