Summary:
- The Project Manager to the COO or CNO is responsible for supporting leadership goals and strategic hospital and Health System programs. The incumbent will provide expertise in project administration, communications, and event management to drive the success of multiple high-profile, multi-department projects. The incumbent should have a passion for building relationships and exceeding client and management expectations within all levels of the organization. The Project Manager is also responsible for providing high-level support by preparing statistical reports, handling information requests, scheduling needs, managing confidential information and other needs of the COO or CNO as required. The incumbent must possess the ability to work with some degree of autonomy, but must also interact and function as part of the HUP Administration administrative support team.
Responsibilities:
- Works with the COO or CNO to clarify projects and then manages those projects through the development lifecycle; Works closely with the Office manager to support balancing the daily workload and participate in tasks such as covering the front desk, answering phones, securing meeting space etc.; Manages client expectations and project status throughout the projects, ensuring that project goals, budgets and timelines are met.
- Conducts periodic risk and quality assessments; reports results to COO or CNO and Business leaders with recommendations for mitigation and improvement; Conducts project planning and status meetings with stakeholders to understand project requirements and communicate implementation methodology to the client; Coordinate with appropriate internal and external stakeholders as necessary.
- Provide demonstrations, presentations and formal classes as necessary; Provide periodic written status reports to the COO or CNO and Project Committees showing status compared to the work plan, issues, risk, and assignments/plans for resolution, resolved issues, problem log and status, upcoming major project situations, and adherence to project budgeted resources; Build and maintain databases and dashboards that support the work of the COO as required.
- Coordinates all calendar scheduling for COO or CNO. Ensures all logistics are complete and confirmed; Collects and compiles data, and other materials for reports, budgets, correspondence, board reports, charts, etc.; collates and assembles reports and documents as required by COO or CNO; Draft and edit, PowerPoint presentations, scripts, talking points, leadership messages, and other communications as relates to both internal and external outreach; Ensure messages are appropriately written for targeted audiences.
- Monitor metrics to identify trends and best practices that drive improved communications activity; Plan, edit and write content for a variety of internal communications mediums, such as a staff intranet, newsletters, or regular email bulletin.
- Ensure internal communications messages are consistent across all mediums and for different departments of the organization; Ensure internal communication messages are consistent with external communication messages.
- Advise COO or CNO on developments throughout the organization, either face to face or through regular written communication.
Credentials:
Education or Equivalent Experience:
- Bachelor of Arts or Science (Required)
- 5+ years Experience working with leadership in an academic healthcare environment
Demonstrated knowledge and application of Project Management disciplines in a complex academic healthcare environment
Ability and experience coordinating the activities and deliverables of two to ten staff on a project team from various areas within an organization
Demonstrated experience in evaluating, managing the development of, and implementing projects
Experience with Adobe Creative Cloud Applications preferred
Experience with Communications management software preferred
