Summary:

  • Serves as the liaison between the patient and the rendering provider of care using the principles of Customer Service established by the UPHS. Responsible for performing an accurate search for the patient in the database, thus reducing the number of duplicate patient records. Obtaining all appropriate demographic and financial coverage for the patient and entering the data into the Registration Database. Assessing the patient’s financial ability to pay for services. Referring patients to the Financial Counseling Department when appropriate. Scheduling appointments using the correct protocols established by each department, for every provider within a department and for ancillary departments when required. Working the custom defined Work Lists to ensure that all accounts are Secured prior to the patient’s arrival for services. Serving as a Point of Service (POS) representative as needed. (Radiology Scheduling - Philadelphia, PA) 

Responsibilities:

Appointment Scheduling 
  • Maintains annual training required for GE Scheduling Certification.
  • Determines reason for patient visit and possesses and utilizes knowledge of provider’s schedule and protocols as well as scheduling guidelines to schedule accurate and complete general appointments, special appointments and emergency appointments.
  • Exercises independent judgment to triage clinical issues to the provider or designee to determine appropriate scheduling action. 
  • Utilizes proper billing area. 
  • Utilizes proper appointment location. 
  • Offers patient/customer alternate appointment sites if the appointment can’t be scheduled at the requested site. 
  • Offers patient/customer alternate providers if the appointment can’t be scheduled with the requested provider. 
  • Cancels and reschedules appointments accurately and completely.
  • Performs appointment “bumping” according to Scheduling Center and UPHS guidelines. 
  • Performs advanced scheduling tasks including wait list, resource scheduling and team scheduling. 
  • Performs administrative duties including mailing of new patient packets and other responsibilities as assigned Financial Assessment: Assures current method of payment for services rendered. 
  • Obtains/confirms insurance information or other method of payment for every patient. 
  • Follows Scheduling Center guidelines to assure that financial data is accurate and complete. 
  • Maintains a basic knowledge of all managed care plans with which UPHS participates. 
  • Maintains a basic knowledge about which insurers require a referral or co-payment. 
  • Reminds patients to bring insurance card, referral, co-payment and any other financial forms/information to the appointment if applicable. 
Patient Registration 
  • Coordinates clinical and administrative aspects of the new patient scheduling encounter including the provision and dissemination of information to the patient/customer as needed or required. 
  • Determines and documents patient information and needs especially special needs in the comment field as appropriate. 
  • Informs the patient to bring any records, test results or x-rays pertinent to the reason for visit Telephone Management: Utilizes telephone technology to maximize scheduling operations and individual and group productivity. 
  • Performs within the expected outcome of the Automated Call Distribution (ACD) environment. 
  • Maintains predetermined UPHS and Scheduling Center standards of telephone activity and measurements. 
  • Reports any problems related to telephone volume and performance to immediate manager in a timely manner. 
  • Triages calls to the appropriate person in a timely manner. 
  • Solves telephone issues as appropriate for job Performance. 
  • Performs within the expected outcome of the Automated Call Distribution (ACD) environment. 
  • Maintains predetermined UPHS and Scheduling Center standards of telephone activity and measurements. 
  • Reports any problems related to telephone volume and performance to immediate manager in a timely manner. 
  • Triages calls to the appropriate person in a timely manner. 
  • Solves telephone issues as appropriate for job Performance.

    Education or Equivalent Experience: High School Diploma with 2 years of healthcare experience is required. An associate degree and experience with patient care is preferred.
