Simulation Operations Manager

Entity: Corporate Services

Department: Penn Med Simulation Center

Location: Hospital of the University of Pennsylvania- 3400 Spruce St

Hours: M-F 8:00am-4:30pm (flexible on start time). Has the ability for occasional WFH after onboarding period.

 

Working under minimal supervision, the Operations Manager is responsible for providing the administrative, financial and operational oversight for Simulation at Penn Medicine activities on a day to day basis. He/she ensures all simulation-based activities for training, assessment and change management purposes are aligned with the health systems strategic goals and mission and provide optimal experience for internal and external clients.

Accountabilities

  • Provides strategic, administrative, financial and operational oversight for Penn Medicine’s system wide simulation program which includes simulation activities taking place both at the 22,000 square foot centralized facility as well as multiples off site locations throughout Penn Medicine on a day to day basis.
  • Informs and oversees the management of the program operating budget of ~1.9 million (external and internal billing, payroll, monthly LBI review, cash flow), develops and implements a multiyear strategic budget, prioritized and submits for capital needs and manages vendor contracts and warrantees.
  • Contracts with internal system wide and external clients to ensure all simulation-based activities have an appropriate scope of work, return on investment as justified through data and are aligned with the underlying mission of the institution.
  • Forges partnerships and serves as primary point of contact with senior leaders and faculty from UPHS Departments, SOM, University and external clients to increase the utilization of simulation for training, assessment and change management.
  • Makes strategic decisions regarding where to focus limited system wide simulation resources balancing health system priorities, learner and faculty needs and external regulatory and accreditation requirements.
  • Ensures that the necessary operational resources such as space, equipment and simulators, are in place to provide an optimal simulated educational experience for over 11,000 onsite learners and faculty annually.
  • Supervises up to 7 full time simulation staff (administrative, technical and operational), numerous part time per diem instructors and temporary staff to ensures their work is completed to the satisfaction of client.
  • Oversees external and internal staffing, billing, scheduling and new initiatives for the health system’s American Heart Association training site.
  • Pursues regional and national recognition for the Simulation at Penn Medicine by maintaining accreditation by relevant societies and participating in collaborative and independent research opportunities.
  • Performs duties in accordance with Penn Medicine and entity values, policies, and procedures
  • Other duties as assigned to support the unit, department, entity, and health system organization

 

Minimum Requirements

Required Education and Experience

  • Bachelor's Degree is required (Master's Degree (MSN, MS, MBA) is preferred)
  • 3+ years of experience in managing an operations budget, including vendor and contract management and budget forecasting.
  • Experience supervising others.

  • Knowledge of data analytics processes and using data to make strategic operational decisions.

  • Ability to maintain confidentiality regarding job assignments and sensitive issues.
  • Ability to work a flexible schedule that may include evening and weekend assignments.
  • Maintain hospital in service requirements per JCAHO, (e.g. CPR, Infection Control, Safety, etc.).
  • Previous use of ebroadcasts, Lawson System.
  • Knowledge of simulation services, technologies and applications.

As part of our COVID-19 response, this position may currently be offering partial or full remote work. However, in the near future this position will require full or partial on-site work.
