Job Title: Transcriptionist Workflow Coordinator
Department: Derm Pathology
Location: Hospital of the University of Pennsylvania- 3400 Spruce St
Summary:
Responsibilities:
• Supervises daily work flow throughout the transcription room.
• Distributes work to the transcriptionists to take advantage of each employee’s strengths.
• Re-open, reject and corrects Newpath cases when practice manager is away from desk.
• Add addendums and amendments on pathology reports.
• Organizes and distributes pathology requisitions to the pathologists for signature and approval (done every 20 minutes throughout the day).
• Implements policies to improve turnaround time for transcription.
• Serves as the primary trainer for new transcriptionists.
• Responsible for monitoring and making corrections to cases that populate on invalid billing list, this includes special stains and ICD-10 errors.
• Assist IT with the testing of newly implemented ICD-10 codes.
• Assist Dermatopathology Fellows with dictations before they are presented to Dermatopathologists for review and signature.
• Follow-up with both registration and referring physician on incorrect or incomplete information that may prevent a patient’s biopsy report from being released.
• Maintain the medical diagnosis X-code list by adding and/or removing new/old codes.
• Update referring physician address and add new referring physicians to the newpath data base.
• Provides direct support to 7 Dermatopathologists.
• Assist practice manager with administrative duties for other positions throughout the department when needed (Call Center, Transcription, Reading Room and Report Mail Breakdown).
• Transcribes, codes, types, and/or inputs dictations and demographics.
• Transcribes and prioritizes dictations and complicated pathology consultation reports. Produces final copy as required.
• Responsible for filing and retrieving reports and/or slides.
• Maintains records and generates reports (i.e., problem billing cases for proper identification/follow-up).
• Breakdown and mails/faxes reports to appropriate physicians, clinicians, and/or organizations (i.e., Quest). Records faxing of this same subset of reports.
• Gives verbal (phone) Pathology Reports to physicians.
• Researches pending and incomplete cases.
• Generates and/or reviews reports and slides to be sent to outside physicians, makes corrections as necessary, and collates to mail.
• Contacts physician’s office concerning patient diagnoses.
• Answers the telephone, handles direct patient and physician’s requests, and responds for written correspondence from patients, insurance carriers, and/or physician’s offices. Independently resolves issues when necessary.
• Follows directives and completes other duties assigned by supervisor, managers and physicians.
• Inform supervisor of problem cases.
• Inform coworkers or supervisor of anything that is pending on your desk.
• Serves as back up to sign out clerk and special stain clerk and call center clerks
• If requested, assists physicians with transcribing diagnoses onto protocols, pulls old slides and reports at the request of the staff physician, and orders recuts and special stains from the laboratory.
• Pulls slides and reports as requested.
• Completes work within assigned and/or communicated time frames.
• Ensures effective utilization of materials, staff and financial resources.
• Utilizes all available tools and resources.
• Deliver slides to in-house physicians.
• Performs duties in accordance with Penn Medicine and entity values, policies, and procedures
• Other duties as assigned to support the unit, department, entity, and health system organization
