Project Coordinator

Entity: Corporate Services

Department: IS-Project Management Office

Location: 3600 Civic Center Blvd

Hours: (must live reasonable distance from location) Hybrid, Monday-Friday.

 

The Project Coordinator IS is responsible for coordinating efforts of the Project Management Office (PMO). Maintains and modifies methodology toolkit and applications needed for the successful management and delivery of services. Assists in facilitating multiple top level governance meetings and identifies areas of improvement.

Primary responsibilities include: Processes requests for projects and services, facilitates intake processes, resource coordination for governance meeting and project discovery meetings, maintains request documentation, generates reports for IS senior leadership such as the CIO Dashboard and works with all IS Operations leads/managers to facilitate request needs.

Additional responsibilities include managing smaller, repeatable projects to ensure execution on time and within budget. Includes developing project plans, timelines, monitoring progress and reporting status.

Also works with the Resource/Functional Managers to identify appropriate resources and assist with fulfilling resource requests for projects/services. Works with Team Leads and Managers to monitor and communicate progress to clients as necessary, communicates with stakeholders and oversees administrative tasks.


Accountabilities

  • Maintains/Modifies PMO Methodology Toolkit. Ensures appropriate documents are available for each phase of project/services life cycle. Update and maintain documentation templates as required.
  • Facilitates Intake Processes. Monitor and Control Request Management Queue. . Review and prepare for intake meeting. Compile and Distribute results of discovery meetings. Communicate status to end user/requestors. Follow up with assigned teams to ensure requests are being responded to. Facilitate the project request lifecycle in JIRA from intake through prioritization.
  • Administers SharePoint Project sites. Responsible for initial set up of all project sites. Responsible for maintaining and updating departmental site. Provide and update documentation as required to support the use of sites for managing projects.
  • Microsoft Project Training. Provides onboarding training to all newly hired staff as well as ongoing support of Microsoft Project.
  • Performs duties in accordance with Penn Medicine and entity values, policies, and procedures
  • Other duties as assigned to support the unit, department, entity, and health system organization

 

Minimum Requirements

Required Education and Experience

  • H.S. Diploma/GED is required (Bachelor's Degree is preferred)
  • 1+ years Information Technology or Healthcare experience is required

  • Strong written and communication skills; ability to interact professionally with a diverse group of clients and staff

  • Ability to multi-task
  • Ability to use Microsoft Office (Excel, Power Point, Word)
  • Must be able to function as part of a team providing a high level of quality service to clients

  • Ability to manage concurrent projects while meeting project deadlines

As part of our COVID-19 response, this position may currently be offering partial or full remote work. However, in the near future this position will require full or partial on-site work.
