Summary:

  • Responsible for the coordination and oversight of secretarial and support functions throughout the Inpatient facility as these relate to purchasing and materials management, Front Desk functions, vehicle management and secretarial functions on the patient units (e.g., ensuring calls are answered, patient charts are organized and dispositioned appropriately, unit-based supplies are inventoried and ordered in a timely fashion, and similar functions).

Responsibilities:

  • Purchasing: Ensures timely and accurate processing of purchase orders for general and medical supplies, including medical and non-medical equipment and services for Penn Medicine Princeton House Behavioral Health (PHBH) Inpatient Services and its associated departments.
  • Updates and maintains policies and purchasing-related procedures in collaboration with the AVP, Inpatient Services.
  • Materials management: Oversees materials management with respect to both medical and non-medical equipment and supplies for Penn Medicine PHBH Inpatient Services.
  • Assists the AVP, Inpatient Services with Inpatient-specific supply chain management, including interfacing with new and existing vendors, as requested.
  • Support Staff Oversight: Supervises and coordinates the functioning of secretarial and related personnel, including Front Desk staff and Unit Secretaries, as examples.
  • Maintains PHBH Inpatient Services vehicle registrations and insurance
  • tracks vehicle maintenance to ensure routine maintenance occurs on schedule
  • processes and tracks invoices for vehicle repairs and/or maintenance.
  • Promotes cost containment through economical ordering and use of supplies and equipment throughout PHBH Inpatient Services.
  • Maintains monthly supply budget reports, reviews for accuracy and efficiency of utilization.
  • Maintains employee files, ensuring direct reports are up to date on annual competency completion, certifications (if required).
  • May serve as a backup for payroll in the Nursing Department, as requested.
  • Maintains strict standards of confidentiality.

Credentials:

  • Driver's License (Required)
  • Active New Jersey driver’s license required.

Education or Equivalent Experience:

  • H.S. Diploma/GED (Required)
  • Education Specialization: Equivalent Experience: •5+ years Experience in a psychiatric clinic or hospital setting.
  • Associate of Arts or Science
