Summary:
- Provides executive support to entity Executive Officer team at Penn Presbyterian Medical Center. The incumbent is responsible for supporting executive leadership goals and strategic hospital and Health System programs. This support includes administrative and project coordination, communications, and event management. Key competencies include: building relationships and exceeding client and management expectations at all levels of the organization; providing high-level support by preparing reports, presentations, handling information requests, scheduling needs, managing confidential information and other needs asrequired; demonstrating the ability to work with some degree of autonomy, while also interacting and functioning as part of theHospital Administrative support team. The Executive Assistant to Penn Presbyterian Medical Center Executive team is responsible for a variety of functions necessary for the general operations and support of the executive office. They must be able to work independently on projects and requires the ability to use a high degree of tact and diplomacy in handling matters that are critical or confidential in nature.
Responsibilities:
- Coordinates all calendar scheduling. Ensures all logistics are complete. Provides background material/documentation formeetings.
- Reviews all correspondence and documents received
- prioritizes or distributes as appropriate.
- Conducts research and provides administrative support for special projects, prepares data and provides follow-up.
- Attends and facilitates meetings to include recording meeting minutes as requested by the executive team and participates on committees as requested
- Draft and edit, PowerPoint presentations, scripts, talking points, leadership messages and other communications as directedby the Executive.
- Collects and compiles data, and other materials for reports, budgets, correspondence, charts, etc.
- collates and assembles reports and documents.
- Plan, edit and write content for a variety of internal communications mediums, such as a staff intranet, newsletters orregular email bulletin.
- Makes travel arrangements and prepares travel advance and expense reports, reconciles travel documents.
- Demonstrate a high degree of confidentiality, trust, and good stewardship of highly confidential and sensitive information.
Education or Equivalent Experience:
Required:
- High School Diploma/GED
- 5+ Years Experience Supporting C-Level Executives, preferably in a non-profit organization
Preferred:
- Bachelor of Arts or Science and 2+ years experience supporting C-Level Executives, preferably in a non-profit organization
- Associate's Degree and 3+ years experience supporting C-Level Executives, preferably in a non-profit organization
