Job Title: Special Projects Analyst
Department: Trauma-Surg Critical
Location: Penn Presbyterian Medical Center - 51 N 39th Street

Hours: Mon-Fri office hours per department needs
Summary:
Serves as the primary operational associate for the Division and Network to support the following functions: operational reporting and statistical analysis, performance objective trend analysis, database development and maintenance, marketing and public relations, educational initiatives, information systems, and division finance coordination under the direction of the Business Administrator. Works under general supervision of the Administrative Services Manager, but with a high degree of responsibility and functional independence
Responsibilities:
- This position will mainly support the TPM and Network Administrator and work on various projects.
- Operational Reporting and Performance Objective Trend Analysis:
- Prepares monthly divisional and network operational reports.
- Provides limited statistical analysis utilizing statistical software and provides trend and billing reports.
- Finance / Expenses
- Set-up and track expenses for all division related cost centers including managing OLSE budget, receivable, expenses, year-end reconciliation and coordination with SIM Center administration.
- Coordinate and maintain disbursement and P.O. expense files for department.
- Process and submit reimbursements for monthly expenses of network services staff and others as requested.
- Create and distribute quarterly professional and discretionary account spending reports for Trauma physicians.
- Reconcile accounts as necessary and requested by physicians and/or BA.
- Track/research and reconcile payment discrepancies, questions and concerns.
- Follow-up with vendors and staff accordingly.
- Division Program & Projects:
- PTSF Accreditation administrative support throughout the Trauma Network.
- Organizes mock surveys with network administrators and trauma network leadership.
- Oversees Military training program for all tasks and or projects as assigned by the Military Administrator and Physician Leader as needed.
- Become a member of Trauma Governance to assist and lead Epic projects for maintenance of current documentation and workflows and new initiatives.
- Oversees credentialing and enrollment process for faculty for multiple sites and facilities by obtaining all necessary supporting documentation, submitting online application and collaborating with the faculty affairs coordinator in surgery for successful appointment application submission.
- Posting of faculty employment ad for digital posting.
- Responsible for answering, screening and extracting all information necessary in order to respond to phone messages and enters in telephone encounters in PennChart.
- Prepares disbursements for travel reconciliation, memberships, subscriptions, etc. for reimbursements.
- Process mail and drafts correspondence as requested.
- Responsible for teleconferencing upgrades and organizing meetings in collaboration with IS and vendors.
- Support PACE courses and administrative needs as necessary.
- Performs other duties as assigned.
Education or Equivalent Experience:
- Associates Degree (Required) Bachelor’s of Arts Degree (Preferred)
- 5+ years experience in a business or office setting (Required) Healthcare experience (Preferred)
- 1 year management experience (Required)

- Strong command of computer applications and programs.
- Works independently with some oversight and builds effective relationships.
- Regular and ongoing communication with faculty and management team.
- Excellent organizational and communication skills.
