Senior Training and Education Coordinator

Job Summary:

  • The Senior Training and Education Coordinator plays a strategic role in managing and optimizing the organization's training operations, providing comprehensive support to instructors and instructional designers, and ensuring the effective delivery of educational programs. This position serves as a key liaison between faculty, administrative staff, and departmental leadership. Additional responsibilities include: Occasionally serve as receptionists at on-site training sessions. Serve as the primary information resource, managing and prioritizing a heavy volume of user inquiries via the ticket management system. Oversee the logging and tracking of training requests, documenting resolution, and analyzing trends. Utilize the Learning Management System to record and track training and develop reporting to measure program effectiveness. Maintain instructor schedules on the shared training calendar. Maintain accurate records of program activities and outcomes and develop organized filing systems. Perform audits to ensure employees meet training requirements and identify areas for improvement. Provide advanced technical and operational support to staff, troubleshooting issues and proactively improving processes. Other duties that match the position as assigned.

Responsibilities:

  • Serve as a subject matter expert on the Learning Management System and Ticketing Management System, providing training and support.
  • Develop and implement process improvements to enhance the efficiency and user experience of tracking training and education offerings.
  • Manage facility resources, including conference rooms and training spaces, to optimize utilization and minimize conflicts.
  • Perform duties in accordance with Penn Medicine and entity values, policies, and procedures.
  • Other duties as assigned to support the unit, department, entity, and health system organization.

    Education or Equivalent Experience:

    • Bachelor of Arts or Science (Required).
    • Education Specialization: Education, Business Administration, or a related field.
    • 6+ years of experience in educational operations or a similar role (Required).
    • Proven track record of process optimization (Required).

    Skills & Abilities:

    • Ability to use Microsoft Office (Excel, Outlook, Word)
    • Ability to interact daily with all levels of healthcare personnel to include: IT management staff, consulting staff, clinicians, clinical administrators, senior leadership and executives, etc
    • Strong written, oral, and non-verbal communication skills
    • Detail oriented with strong analytical, organizational, and problem solving skills.
    • Strong customer service orientation
    • Able to function as part of a team providing a high level of quality service to users
    • Experience with web conferencing software and virtual classrooms.
    • Advanced analytical and problem-solving skills, with the ability to identify and implement data-driven solutions
    • Exceptional stakeholder management and communication skills, with the ability to liaise effectively with staff and leadership
    • Mastery in Learning Management Systems
    • Mastery in Ticketing Management Systems
