Job Title: Administrative Services Associate
Department: CTR Inherited CVD
Location: Perelman Center for Advanced Medicine - 3400 Civic Center Blvd
Entity: CPUP
Hours: Mon-Fri office hours per department needs
Summary:
- This Administrative Services Associate will provide support for the Center for Inherited Cardiovascular Disease Program and programmatic efforts. Duties are to coordinate patient related activity for both outpatient visits and procedures. This includes: triaging telephone calls, taking messages, and providing information to internal and external customers; scheduling outpatient appointments, surgeries/procedures, outpatient diagnostic tests, and admissions as requested; obtaining procedural and medical authorizations; preparing and processing billing, and preparing and processing correspondence.
Responsibilities:
- Schedules patient appointments including required testing.
- Retrieves and processes incoming medical records/images, ensure scanning and physician review is completed.
- Ensures diagnostic testing and other evaluations are completed before visit if applicable.
- Handles all patient correspondence, including myPennMedicine messages and call center intakes.
- Responsible for maintaining the referral emails.
- Responsible for maintaining the e-fax.
- Maintaining provider wait list and reschedule list.
- Responsible for same day or next day prior-authorizations for testing.
- Maintain Holter Monitor Work queue which includes ordering of the monitor and uploading it once receive results.
- Maintain internal referral work queue.
- Answers and screens the provider phone line.
- Taking appropriate messages/delegate to appropriate staff.
- Maintains multiple calendars and ensures Epic schedules are full.
- Submission of Symphony requests for providers.
- Coordination of New Patient Packets, Carrier Clinic Packets and any additional programmatic needs.
- Create/Edit and distribute letters per provider direction.
- Updates CVs in FEDs.
- Any additional tasks needed for the program as assigned.
- Focus on obtaining records and imaging from other facilities
- High reliability of organization and coordination.
- Four years previous experience strongly preferred.
Education or Equivalent Experience:
- H.S. Diploma/GED (Required)
- And 2+ years Medical office experience, or 2 years of customer service experience (Required) 4+ years experience strongly preferred.
- A degree (Associate's, Bachelor's, Master's) may be considered in lieu of some experience.
