Job Title: Staff Assistant
Department: Radiation Oncology
Location: Hospital of the University of Pennsylvania- 3400 Spruce St
Hours: Full Time
Summary:
• This highly responsible position provides extensive managerial and administrative support for faculty members of the Physics Division in Radiation Oncology. Under minimal supervision, this individual will need to use considerable judgment, creativity and analysis in designing, interpreting and implementing procedures which emphasize expediency and responsiveness to effective decision making. Support includes but is not limited to independent project work, calendar management, document preparation/distribution, frequent and clear communication across department and entity, and demonstrated proficiency in software packages.
Responsibilities:
• Provide extensive and complex administrative support to the faculty in the division of physics dosimetry and global education
• Perform secretarial duties, including coordination of meetings and events
• Assemble and organize meetings assist with creating agendas and taking meeting minutes when necessary
• Tracking the timely return of completed documents and project management activities
• Compiling letters and communications on behalf of the Vice Chair of Physics
• Preparing documents for mailing
• Send/receive mail, reports and/or packages
• Organize and arrange schedules for physics and dosimetry leaders.
• Assist with any recruitment activities for staff, faculty and students – including interviews, candidate presentations, luncheons etcetera.
• Manage ordering and distribution of all dosimetry badges for the department
• Coordinate any onboarding or offboarding activities for the physics division
• Gather, organize and disseminate materials for lectures, meetings, events
• Screen inquiries, answer telephone calls; respond to inquiries and provide information as appropriate
• Receive and assist visitors, referring them to the appropriate individuals or locations in the department
• Submit reimbursement requests for travel expenses for physics faculty
• Utilize Office 365 applications including Outlook, PowerPoint, OneDrive, Forms, and SharePoint
• Serve as a project manager for various small-scale physics and/or dosimetry projects
• Exercise considerable judgment, creativity and analysis in designing, interpreting and implementing office procedures to maintain smooth, continuous operations of the office.
• Maintain strictest confidentiality
• Back-up to administrative staff as needed
Credentials:
Education or Equivalent Experience:
• Associate of Arts or Science Healthcare or related field (Preferred)
• H.S. Diploma/GED (Required)
• 5+ years High Level Administrative Assistant Role (Required)
