  • The Administrative Assistant  manages, and completes business services requirements for each administrator. These business services will include (but not limited to) completing and processing business services reports, managing vendor payments and vendor relations, ordering and maintaining department supplies, scheduling meetings and coordinating and managing Human Resources administrative requirements.


  • Provides executive support for Division Chief and Associate Director of department.
  • Keeps track of assigned physician schedules / activities.
  • Coordinates recruitment of new physicians.
  • Manages calendars for head physicians.
  • Collaborates with other Executive Assistants on administrative duties.
  • Coordinates projects and events within the department.
  • Ability to prepare presentations using Power Point.
  • Manages education lecture series, including attendance, and series accreditation.
  • Greets visitors and staff in office.
  • Process physician reimbursements.
  • Answers telephones courteously, utilizing telephone encounters, schedules appointments, takes/relays messages, gathers information and nature of call, and responds to inquiries appropriately.
  • Picks up and distributes mail to head physicians.
  • Work with Medical Records and the physician to ensure compliance.
  • Assists with hospital re-credentialing process, license renewals and completing expense reports.
  • Requirements

    • 2 plus years of related experience
    • Executive Assistant experience encouraged.
    • High School diploma
    • BS or BA preferred.
