Summary: 

This Assistant position will provide executive level administrative support to the primary and Associate Division Chief. This role will coordinate among management team members and within the organization to align current activities with priorities. This individual will serve as liaison between physician leadership, Managers, and Directors. This role will coordinate recruitment events, as well as interdepartmental meetings.

  1. Provides executive support for Division Chief and Associate Director of department.
  2. Keeps track of assigned physician schedules / activities.
  3. Coordinates recruitment of new physicians.
  4. Manages calendars for head physicians.
  5. Collaborates with other Executive Assistants on administrative duties.
  6. Coordinates projects and events within the department.
  7. Ability to prepare presentations using Power Point.
  8. Manages education lecture series, including attendance, and series accreditation.
  9. Greets visitors and staff in office.
  10. Process physician reimbursements.
  11. Answers telephones courteously, utilizing telephone encounters, schedules appointments, takes/relays messages, gathers information and nature of call, and responds to inquiries appropriately.
  12. Picks up and distributes mail to head physicians.
  13. Work with Medical Records for patient requests.
  14. Assists with hospital re-credentialing process, license renewals and certifications.

Requirements

  • 2 plus years of related experience.
  • Executive Assistant experience encouraged.
  • High School diploma
  • BS or BA preferred
